Service Agreement

Effective Date: 08/08/2024

By scheduling a one-time or recurring service with Viva Fresh Space, you agree to the following terms and conditions:

  1. General Limits, Conditions, and Liability

Satisfaction Guarantee
We strive for 100% customer satisfaction. If you’re not satisfied with any area we’ve cleaned, please contact us at info@vivafreshspace.com within 24 hours. We will return to re-clean the affected area at no additional charge. The cleaning technicians must be allowed back into the home within 1 business day, and we will usually accommodate same-day returns if possible. Please note, we do not offer cash refunds or discounts on services but will re-clean to meet our satisfaction guarantee.

  1. Security Alarms
    We respect your home and safety. We will make every effort to disarm and rearm your security system according to your provided instructions. However, we are not liable for any charges from local police departments or security monitoring companies related to an activated alarm during our service. You agree to release Viva Fresh Space from any liability for alarm failures or improper arming.
  2. Bio-Hazards
    If we encounter bio-hazards (e.g., feces) at the property, we cannot clean those areas and will clean only the accessible areas. You will still be charged the full-service cost. If feces are present, the entire home will not be cleaned, and you will be responsible for the full-service fee.
  3. Pets “Escaping” from the Home
    We are not responsible for pets that escape when our technicians enter or exit your home. If your pet will be roaming free, please inform us in advance so we can be cautious with door openings. Our technicians will do their best to close doors promptly.
  4. Pet Special Considerations and Instructions
    We work around pets regularly and understand special concerns. However, we are not responsible for any damages or liability resulting from your pet’s actions. For specific pet needs or issues, we recommend boarding your pet on the day of the cleaning.
  5. Charges for Pets
    A fee may be applied for the additional time required to clean pet hair, paw prints, etc. Please inform us of any changes in your pet situation.
  6. Pet Waste & Messes
    Our technicians cannot handle pet feces or litter boxes. If pet waste is sucked into our vacuum, you will be charged for repairs, cleaning, or replacement. Urine stains on hardwood floors will be mopped but may not fully come out if they have soaked into the wood. Our technicians cannot handle cat litter boxes due to biohazard concerns.
  7. Cleaning-Day Home Preparation
    To ensure efficient cleaning, please pick up personal items and debris the night before. This will allow our technicians to focus on cleaning rather than routine housekeeping tasks. If additional preparation is needed, please contact us in advance for a fee adjustment.
  8. Unimpeded Access to Areas of Home
    Our technicians require unrestricted access to all cleaning areas. Special requests to clean specific areas out of sequence may incur additional charges. If additional time is needed due to other occupants, please notify us ahead of time.
  9. Task Blocks
    For miscellaneous tasks or special requests (e.g., dishes, laundry), we offer 30-minute task blocks for $25 each.

  1. Condition Scale
    Provide an accurate Condition Scale when booking to ensure proper time estimation. If the condition is higher than indicated, we may revise the estimate and reschedule if necessary. Additional charges may apply based on the revised estimate.
  2. Days We Clean
    We are open Monday – Friday, from 8 AM – 6 PM. We do not provide cleaning services on Thanksgiving and Christmas.
  3. Items/Areas We Do Not Clean / Services Not Offered
  • Wall washing or scrubbing
  • Fabric blind cleaning or washing
  • Chandelier or ceiling light cleaning
  • Musical instruments or stereo equipment
  • Compost removal
  • Interior fireplace cleaning
  • Cat litter boxes or litter on floors
  • Bio-hazardous cleaning (e.g., mold, blood)
  • Unreachable areas (e.g., ceiling fans over beds)
  • Carpet powder or paint splatter

  1. CLEANING SUPPLIES
    Our cleaning technicians bring the tools and products needed to thoroughly clean your home. We are not able to use any of your cleaning products. We also cannot clean in homes with fumes from paint, varnish, sealants, solvents, etc., from recent work. Similarly, we cannot vacuum up scented powders or baking soda or any powdered substances with our vacuum. If you have a broom, please place it by the front door, and we will sweep it up for you.
  2. DUSTING
    Our cleaning technicians take pride in dusting your home. Our tools and techniques allow us to remove most of your home’s dust efficiently.
  • Settling Dust: During the dusting process, some dust becomes airborne and may not settle until we have left. This is more common in first-time cleanings, and it may take several visits before settling dust is minimized.
  • Dusting Knick-Knacks, Collectables, Stand-Up Picture Frames, and Other Small Items: We dust small items based on their size and quantity on a shelf or flat surface. If there are 10 or fewer items on a shelf, we will hand dust them and the surface below. For more than 10 items per shelf, we may dust the items where they sit and the surrounding surface.
  • Dusting Height Limits: We are not able to dust items on shelves or walls higher than what a technician can reach standing on a 2-step stepladder. We use extension poles for high dusting but will not high dust items that might tip over or are hung on walls, as we cannot secure them while dusting.
  1. SHOWERS AND TUBS
    Showers and tubs can accumulate lime, calcium, and soap scum. We do not remove lime or calcium unless it can be removed with non-toxic cleaning agents and reasonable scrubbing efforts. We do remove soap scum. Mold and mildew are organic and may require re-grouting or re-caulking for complete elimination. Showers with extensive tile may need additional time and may require periodic deep cleanings.
  2. DAMAGE OR BREAKAGE
    Our cleaning technicians exercise reasonable care when cleaning your home. We are not liable for:
  • Normal Wear and Tear: Carpet snags, improperly placed items, and other normal wear.
  • Improper Installation: Items not properly secured or installed.
  • Artwork and Valuables: Collectibles, heirlooms, and glass items over $75 or $300 respectively.
  • Refrigerator and Blinds: Risks associated with cleaning refrigerators and blinds.
  • Holiday Items: Holiday decorations and ornaments are not guaranteed.
  • Plumbing Fixtures: Issues with faulty plumbing or fixtures.
  1. PAYMENT FOR SERVICES
    Payment is due within 24 hours of invoicing. A $10 per day late fee applies for overdue payments. We accept cash, credit cards and e-checks. Refunds are not offered, but we will re-clean any areas free of charge per our satisfaction guarantee.
  2. SCHEDULED “ARRIVAL WINDOW” FOR CLEANINGS
    Our teams clean from 8AM to 6PM. Exact arrival times cannot be guaranteed. If access to the home is delayed, additional charges may apply, or we may adjust the cleaning time.
  3. GUARANTEED RATE FOR SUBSCRIPTION
    Rates for subscriptions will not increase more than 10% per year, and not before 6 months after the first cleaning.
  4. LOCK-OUT FEE
    A lock-out fee applies if our technicians cannot enter your home. A lockbox can be provided for a small fee.
  5. POWER OUTAGES
    We will clean as usual during power outages, using a broom if necessary. Cancellations will follow our regular policy.
  6. UNABLE TO COMPLETE CLEANING DUE TO CONDITION OF HOME
    If our technicians cannot clean due to pests or hazardous conditions, you will be charged the full cost of the estimated service.
  7. SCHEDULING CHANGES
    Rescheduling or canceling with less notice can result in additional charges or the loss of your cleaning slot.
  8. ADDITIONAL FEE (FOR ADDITIONAL TIME NEEDED TO CLEAN YOUR HOME)
    Additional charges may apply if extra time is needed beyond the allocated cleaning time due to home conditions.
  9. NO AVAILABILITY
    Cleaning dates may sell out. Contact us early to secure an alternative date.
